paywise for Lexware Office

Lexware Office
The connect:Lexware Office integration hands open invoices from Lexware Office straight to paywise for collection. Invoice data, customer and invoice PDF come along automatically — and, unlike most other integrations, the payment reminders you have already sent from Lexware Office.
paywise reads from Lexware Office and never writes back. Nothing in your bookkeeping is changed, cancelled or marked as paid.

Before you start

  • A Lexware Office account you can sign in with.
  • A paywise account. You can also create one during the connection flow — paywise then takes your company details straight from Lexware Office.
  • At least one open invoice in Lexware Office.
  • No active DATEV import may exist for your paywise company. Deactivate it under DATEV Einstellungen → Gefahrenzone → Integration deaktivieren before connecting Lexware Office.

New to paywise? Registering through Lexware Office

You do not need a paywise account in advance. Registering through Lexware Office creates your account and your company in one pass — paywise takes your company data straight from Lexware Office instead of asking you for it.

Open the registration

Go to app.paywise.de/connect/lexoffice/registrieren/.The page Registrierung über Lexware Office greets you with „Verbinden Sie Ihr Lexware Office Konto, um Ihre Unternehmensdaten automatisch zu übernehmen.” (Connect your Lexware Office account to import your company data automatically.)

Accept the terms of use

Switch on „Ich akzeptiere die Nutzungsbedingungen der connect:Lexware Office Schnittstelle.” (I accept the terms of use of the connect:Lexware Office interface.) The arrow beside it opens the full text in a new tab.The connect button stays disabled until you do.

Connect with Lexware Office

Choose Mit Lexware Office verbinden (connect with Lexware Office). paywise sends you to Lexware Office, where you sign in with your own credentials and grant access.You never enter Lexware credentials into paywise.

Review the data

You return to paywise at the Daten überprüfen (review data) step: „Bitte prüfen Sie die aus Lexware Office übernommenen Daten sorgfältig, bevor Sie fortfahren.” (Please check the data imported from Lexware Office carefully before continuing.)The form arrives pre-filled from Lexware Office:Review and correct anything wrong or missing. Whatever Lexware Office does not supply, you add by hand here.

Set a password and submit

Finally choose a password for your paywise account and submit the form.
Submitting creates, in one step:
  • your user account,
  • your company with the reviewed data,
  • and the active Lexware Office connection for it.
You are signed in immediately afterwards and can submit invoices straight away. A confirmation email is sent to your address.
If you are already signed in to paywise you do not need this path: the registration page then redirects you to your account’s Lexware Office page, where you establish the connection as described below.

Accept the terms

Start the authorisation

Choose Jetzt mit Lexware Office verbinden (Connect with Lexware Office now). paywise sends you to Lexware Office, where you sign in with your own credentials.You never enter Lexware credentials into paywise — the authorisation happens entirely at Lexware Office.

Grant access

Confirm the authorisation at Lexware Office. You are returned to paywise automatically.
Once connected, the page shows Verbunden mit (connected to), Status: Aktiv, the connection date under Verbunden seit and who created it under Angelegt von.

2. Submit invoices for collection

Open the invoice picker

On the Lexware Office page in paywise, choose Rechnungen einreichen (submit invoices).

Pick the invoices

paywise lists your open vouchers live from Lexware Office — with invoice number, customer, invoice date, due date, total and open amount.Search by invoice number or customer, filter by date, and sort by invoice date or invoice number.

Check the debtor data

Name, address and whether the debtor is a company or a private person come from the Lexware Office contact. The invoice PDF is attached automatically. Review and correct anything missing.

Review the reminders

Reminders recorded against the invoice in Lexware Office are imported automatically with date, deadline and amount — you do not retype them. If you dunned outside Lexware Office, add that by hand here.This matters legally: for consumers a reminder is normally required before default interest and collection costs can be claimed.

Send the order

Confirm how collection should start, answer the legal questions, accept the terms and choose Auftrag absenden (send order).

Invoices that cannot be submitted

paywise deliberately refuses an invoice rather than creating a doubtful claim:
  • Drafts. Vouchers in status draft are not issued invoices.
  • Paid invoices. Vouchers in status paid are settled.
  • Incomplete recipient details. paywise imports the invoice as an editable draft. Complete the name and address in paywise before submitting the order.
  • Already submitted invoices are shown as Eingereicht.
Invoices written in another tool and only recorded in Lexware Office (vouchers of type salesinvoice) are found by paywise as well and can be submitted.

Mahnservice: importing invoices continuously

This integration feeds more than the one-off collection handover — it can also supply the paywise Mahnservice, the pre-collection dunning service. paywise then fetches your open invoices regularly and sends payment reminders on your behalf, before a case becomes a collection matter. You set the Mahnservice up at app.paywise.de/mahnservice/.

Prerequisites

All of the following must be in place before the recurring sync starts:
  • An active Lexware Office connection with a valid authorisation.
  • A Mahnservice subscription and the accepted Mahnservice terms.
  • A decided import scope — you determine once which invoices should be taken over.

What paywise checks before every reminder

Regular sync

paywise fetches your open invoices from Lexware Office at fixed intervals. Newly opened invoices are picked up automatically.

Status check immediately before sending

Right before a reminder goes out, paywise queries the current invoice status in Lexware Office once more. If the invoice has been paid or cancelled in the meantime, no reminder is sent.

When in doubt, nothing is sent

If the status cannot be established beyond doubt — because Lexware Office is temporarily unreachable, for instance — paywise holds the reminder back. That is deliberate: a reminder sent late is better than one sent to somebody who has already paid.
Payments paywise finds in Lexware Office during a sync end the dunning process automatically.
Invoices that were only recorded are dunned too. Invoices written in another tool and merely booked into Lexware Office are recognised by the Mahnservice as well.While such a voucher is not yet booked in Lexware Office, or a payment for it is in flight, its status cannot be read unambiguously — paywise then holds off dunning it. Once you have booked the voucher or the payment is assigned, the dunning process continues normally.

3. Disconnect

On the Lexware Office page, choose Verbindung trennen (disconnect) and confirm. paywise then stops reading invoices from Lexware Office. Orders you already submitted are unaffected — they are paywise cases and continue to be processed. paywise pauses running dunning processes that depend on this connection. You can resume them after reconnecting. To reconnect later, simply run through the connection flow again.

Troubleshooting

The authorisation was withdrawn at Lexware Office, or expired. Choose Verbindung erneuern (renew connection) on the same page. Your previous orders are not affected.
If paywise could not fetch the data from Lexware Office, the Verbindungsfehler card appears with „Die Verbindung zu Lexware Office konnte nicht hergestellt werden. Bitte versuchen Sie es erneut.”Erneut versuchen (try again) restarts the registration. If it keeps failing, Zur normalen Registrierung (to the normal registration) takes you to the regular paywise sign-up — you then enter the company data yourself and connect Lexware Office later on the integration page.
Check that you signed in to Lexware Office with the right account and confirmed the authorisation, then try again.
Another classic bookkeeping integration was still active when the flow completed, but the confirmation to switch was no longer present. Nothing was changed. Start the connection again and confirm the switch.
paywise shows only open vouchers. Drafts and paid invoices do not appear. Check the invoice status in Lexware Office.
