# Teamleader Focus

> Send open invoices from Teamleader Focus to paywise and optionally have the Mahnservice dun them automatically

# paywise for Teamleader Focus

The Teamleader Focus integration lets you bring open invoices straight from
Teamleader Focus into paywise. The invoice number, due date, open amount, customer
details and the invoice PDF are carried over without retyping them. Credit notes
from Teamleader Focus reduce the open amount.

You can pick invoices for debt collection yourself or let the paywise Mahnservice
dun overdue invoices automatically. paywise detects payments and credit notes you
record in Teamleader Focus automatically.

> [!NOTE]
>
> paywise reads from Teamleader Focus and never writes back. No invoice in
> Teamleader Focus is changed, cancelled or marked as paid. The integration is
> offered by paywise and is not a product provided or supported by Teamleader.

## Before you start

* A Teamleader Focus account that may authorise integrations for your account.
* An existing paywise account. You must be an administrator of the selected
paywise company to connect or disconnect Teamleader Focus.
* An open invoice in Teamleader Focus if you want to test the collection handover
  right away.
* No active DATEV import and no other classic bookkeeping integration for the same
paywise company. When switching, paywise may ask you to replace the previous
  source.

### Which access paywise requests

Teamleader Focus shows the requested access during authorisation:

| Access | Why paywise needs it |
| - | - |
| Companies | Take over business customers as debtors |
| Contacts | Take over private customers and contact persons as debtors |
| Departments | Select the department (company) paywise takes invoices from |
| Invoices | Read invoices, amounts, payments, credit notes and the invoice PDF |
| Users | Identify the connected Teamleader Focus account |

paywise uses this access for reading only.

## 1. Connect Teamleader Focus to paywise

**1. Open the connection page**

Go to
[app.paywise.de/connect/teamleader/](https://app.paywise.de/connect/teamleader/)
or choose **Buchhaltung anbinden** (Connect bookkeeping) in paywise and then
**Teamleader Focus**. Select the paywise company you want to connect.

**2. Accept the terms of use**

Select **Ich akzeptiere die Nutzungsbedingungen der
Teamleader-Focus-Anbindung** (I accept the terms of use for the Teamleader
Focus integration). The link in that text opens the terms first.

**3. Start authorisation**

Choose **Mit Teamleader Focus verbinden** (Connect Teamleader Focus). paywise
sends you to Teamleader Focus. Sign in there, review the access listed above
and choose **Autorisieren** (Authorise).

You never enter Teamleader Focus credentials into paywise. Sign-in and consent
happen entirely at Teamleader Focus.

**4. Return to paywise**

After consent, Teamleader Focus redirects you back. The page confirms that the
Teamleader Focus connection was established.

**5. Choose the department**

paywise only takes invoices from **one** Teamleader Focus department
(company). If your account has a single department, paywise selects it
automatically. With several departments, choose the one you want under
**Abteilung** (Department) and confirm with **Abteilung speichern** (Save
department). Invoices become available only after that.

> [!WARNING]
>
> If you change the department later, paywise resets your Mahnservice confirmation.
> The Mahnservice sends reminders for this connection again only after you have
> given the confirmation in the Mahnservice once more.

## 2. Submit invoices

**1. Open the invoice picker**

On the Teamleader Focus page in paywise, choose **Jetzt starten** (Start now).
This opens the debt collection wizard.

**2. Select invoices**

paywise lists the eligible invoices of the selected department with the
invoice number, customer, invoice date, due date, total and **open amount**.

Search by invoice number or customer, filter by date and status, and select
the invoices you want to submit.

**3. Review debtor and document**

paywise carries over the customer's name, address and email address where
those details exist in Teamleader Focus. Companies are taken over as
businesses, contacts as private persons. The invoice PDF is attached
automatically. Credit notes for the invoice appear in the review as
**Gutschrift** (Credit note).

Review the draft and complete any missing required details or documents before
submission.

**4. Record your payment reminder**

Reminders from Teamleader Focus are not imported into the collection handover.
In the wizard, record whether and when you already asked the debtor to pay and
which deadline you set.

**5. Send the order**

Answer the legal questions, accept the terms and choose **Auftrag absenden**
(Submit order).

From here the case is a paywise matter. You can follow its progress in your
paywise dashboard; paywise changes nothing in Teamleader Focus.

### Which invoices appear

A Teamleader Focus invoice can be selected when it:

* belongs to the selected department,
* is open (outstanding) in Teamleader Focus, and
* has an open amount greater than zero after credit notes.

The **open amount** is the amount still due in Teamleader Focus minus all credit
notes for that invoice. Paid invoices, fully credited invoices and drafts do not
appear. An invoice already handed to paywise is marked *Eingereicht* (Submitted)
and cannot be submitted twice.

## Use Teamleader Focus with the Mahnservice

Teamleader Focus can also feed the
[paywise Mahnservice](https://app.paywise.de/mahnservice/), the pre-collection
dunning service. paywise then imports overdue invoices automatically, sends
reminders on your behalf and accounts for payments and credit notes recorded later
in Teamleader Focus.

**1. Choose Teamleader Focus**

In the Mahnservice, open
[Buchhaltung verbinden](https://app.paywise.de/mahnservice/integration/buchhaltung/)
(Connect bookkeeping) and choose **Teamleader Focus**. You reach the
connection page and connect Teamleader Focus as described above, including the
department. **Weiter zum Mahnservice** (Continue to the Mahnservice) takes you
back.

**2. Switch off and confirm Teamleader Focus reminders**

Confirm in the Mahnservice that, for invoices paywise duns, you use neither
the **Automatische Erinnerungen für überfällige Rechnungen** (automatic
reminders for overdue invoices) nor the **Inkasso** button of Teamleader
Focus. This prevents duplicate reminders and fees. Until you confirm, paywise
imports no invoices from Teamleader Focus.

> [!TIP]
>
> **Rechnung pausieren** (Pause invoice) in Teamleader Focus stops its reminders for
> individual invoices.

Only the person who established the connection can change or withdraw the
confirmation. A change of department or Teamleader Focus account requires a fresh
confirmation.

How the Mahnservice works with Teamleader Focus:

* **Import:** paywise only takes invoices of the selected department that are open
  and already overdue.
* **Amount:** reminder letters, emails and the dashboard show the open amount, that
is the invoice amount minus recorded payments and credit notes.
* **Payments:** once an invoice is fully paid in Teamleader Focus, dunning ends.
Partial payments reduce the open amount.
* **Credit notes and cancellations:** if a credit note or cancellation is added,
paywise pauses dunning for review. A credited invoice is never treated as paid.

Before every reminder, paywise checks the current invoice status again. If the
status cannot be determined safely, no reminder is sent.

## 3. Disconnect

On the Teamleader Focus page in paywise, choose **Verbindung trennen**
(Disconnect) and confirm the dialog.

paywise deletes the locally stored OAuth tokens and stops reading Teamleader Focus
data. Teamleader Focus offers no revocation through its interface. Therefore also
remove the paywise integration in Teamleader Focus under **Einstellungen →
Integrationen** (Settings → Integrations).

Collection orders you already submitted remain in place. If Teamleader Focus
supplies the Mahnservice, running dunning processes are paused because paywise can
no longer verify the current invoice status.

To reconnect, accept the terms again and repeat the authorisation at Teamleader
Focus.

## Troubleshooting

> **Teamleader Focus authorisation could not be completed**
>
> Start again at
> [app.paywise.de/connect/teamleader/](https://app.paywise.de/connect/teamleader/).
> Use the same browser window throughout and sign in to Teamleader Focus with an
> account that may authorise integrations.

> **The invoice list is empty or an invoice is missing**
>
> First check that a department is selected and that the invoice belongs to it.
> paywise only shows open invoices with an open amount greater than zero; paid,
> fully credited invoices and drafts are excluded. The Mahnservice additionally
> only shows invoices whose due date has passed.

> **The amount in paywise differs from Teamleader Focus**
>
> paywise deducts credit notes for the invoice from the open amount. With
> partial credit notes, Teamleader Focus may still show the higher amount as due.
> Check the credit notes for the invoice in Teamleader Focus.

> **My account has several departments**
>
> paywise always takes invoices from a single department. On the Teamleader
> Focus page in paywise, choose the department whose invoices paywise should
> take over. After a change, confirm again in the Mahnservice that reminders in
> Teamleader Focus are switched off.

> **The connection is interrupted or invalid**
>
> Choose **Erneut mit Teamleader Focus verbinden** (Reconnect Teamleader Focus)
> and authorise paywise again at Teamleader Focus. Previous collection orders
> are not affected.

> **The Mahnservice cannot be activated**
>
> Check that the Teamleader Focus connection is active, that a department is
> selected, that you are the original connection owner, and that you gave the
> confirmation about Teamleader Focus reminders.
