> Hand overdue invoices from Business Central to paywise and optionally monitor them with the dunning service

# paywise for Microsoft Dynamics 365 Business Central

![Microsoft Dynamics 365 Business Central](https://mintcdn.com/paywisegmbh/uErawC6pahSZpijd/images/integrations/businesscentral-icon.png?fit=max\&auto=format\&n=uErawC6pahSZpijd\&q=85\&s=45985557a713c656c30b6cee5d0768a4)

The Business Central integration lets you take overdue open invoices straight
from Business Central into paywise. Invoice number, due date, open amount,
customer data and the invoice PDF from Business Central are imported without
retyping. You sign in with your Microsoft account – nothing needs to be set up
inside Business Central.

> [!NOTE]
>
> paywise reads from Business Central and never writes back. No invoice is changed,
> cancelled or marked as paid in Business Central. The integration is offered by
> paywise and is not a product provided or endorsed by Microsoft.

## Before you start

* **Business Central online** (Microsoft's cloud version). Business Central
on-premises and Microsoft Dynamics NAV ("Navision") are not supported.
* A Microsoft sign-in with a **Business Central user who may view and print sales
invoices**. Read-only rights are not enough, because Business Central updates a
print counter when it renders the invoice PDF.
* The first time someone in your company connects: a one-time approval by an
**administrator of your Microsoft tenant** (see below).
* An existing paywise account. You must be an administrator of the selected
paywise company to connect or disconnect.
* No active DATEV import for the same paywise company.

### Which permission paywise requests

During sign-in Microsoft shows the permission **Dynamics 365 Business Central –
Financials.ReadWrite.All**. Business Central offers no read-only permission.
paywise uses it for reading only:

| What paywise reads | Why |
| - | - |
| Sales invoices and invoice PDFs | Select invoices, document the claim |
| Customers | Take over the debtor data |
| Credit memos | Detect cancellations and credits |
| Company information | Check the company currency |

paywise always acts **with the rights of the signed-in user** – never more.

### One-time approval by your administrator

Many Microsoft tenants do not let users consent to applications that access
accounting data. Microsoft then shows **Admin approval required**. To approve:

* paywise shows an **approval link**. Forward it to your IT. An administrator of
the tenant where Business Central runs (for example a Global Administrator or
Application Administrator) opens it and consents for your organisation.
* If the administrator is only a **guest** in that tenant, they use the link
**Have an admin account? Sign in with that account** on Microsoft's screen
  instead.
* Alternatively, your IT can classify the permission as "low risk" under
*Entra ID → Enterprise applications → Consent and permissions*; users can then
  consent themselves.

The approval is needed once per Microsoft tenant. After that, every Business
Central user simply signs in.

## 1. Connect Business Central to paywise

**1. Open the connection page**

Go to
[app.paywise.de/connect/businesscentral/](https://app.paywise.de/connect/businesscentral/)
and select the paywise company you want to connect.

**2. Sign in with Microsoft**

Select **Mit Business Central verbinden**. paywise redirects you to Microsoft.
Choose the Microsoft account of your **Business Central user** and consent to
the permission – or forward the approval link to your IT if Microsoft asks for
admin approval.

You never enter your Microsoft credentials at paywise. Sign-in happens entirely
at Microsoft.

**3. Choose environment and company**

Back in paywise, paywise asks Microsoft for the Business Central environments of
your account and loads the companies right away. With several environments it
starts with **Production**; pick another one in the **Umgebung** select.

paywise lists all companies of the environment with the number of overdue open
invoices. Choose exactly one company – paywise deliberately preselects none.

**4. Save the connection**

Accept the licence terms of the Business Central integration and select
**Verbindung speichern**. The page shows **Verbunden** with company, environment
and signed-in account. **Jetzt starten** opens the invoice selection.

To connect another Business Central company, connect it from the matching
paywise company. **Mandanten wechseln** changes the selection, **Mit anderem Konto
anmelden** switches the Microsoft account.

## 2. Submit invoices

**1. Open the invoice selection**

Select **Jetzt starten** on the Business Central page in paywise. You reach the
collection wizard.

**2. Select invoices**

paywise lists the overdue open sales invoices of the connected company with
invoice number, customer, invoice date, due date, total and **open amount**.
Search, filter and select the invoices you want.

**3. Check debtor and document**

paywise takes over name, billing address, email address, phone number and
customer number. Whether the debtor is a business or a consumer comes from the
customer type in Business Central; if the type is unclear you choose it
yourself. The invoice PDF from Business Central is attached automatically.

Complete any missing required details – for example the legal form – before
submitting.

**4. Record reminders**

Reminders from Business Central are not imported, because Business Central does
not expose them through its standard interface. Enter in the wizard whether,
when and with which deadline you have already asked the debtor to pay.

**5. Submit the order**

Answer the legal questions, accept the terms and select **Auftrag absenden**.

### Which invoices appear

A Business Central invoice can be selected when it:

* is posted and has the status **Open**,
* is overdue (due date in the past),
* has an open amount greater than zero,
* is issued in **euro**,
* is not marked as disputed and
* does not belong to a fully blocked customer.

Paid, cancelled and credited invoices as well as drafts do not appear. After a
partial payment paywise submits only the **remaining open amount**. Because
Business Central's standard interface provides no payment history, paywise records
the settled part as one payment noted "Bereits beglichen laut Business Central".

## Using Business Central with the dunning service

Business Central can also feed the
[paywise dunning service](https://app.paywise.de/mahnservice/). paywise then
regularly imports overdue open invoices and takes into account partial or full
payments recorded in Business Central later on.

Before activation you must confirm that **reminders in Business Central are
disabled**. This prevents Business Central and paywise from dunning the same
invoice in parallel. The confirmation applies to the connected company; after a
company change a new confirmation is required.

Before every reminder paywise re-checks the current invoice status in Business
Central. If the invoice has been paid, is disputed or its status cannot be
determined unambiguously, no reminder is sent. Cancellations and credit memos are
held for manual review.

## 3. Disconnect

Select **Verbindung trennen** on the Business Central page in paywise and confirm
the dialog.

paywise deletes the stored sign-in and stops reading from Business Central. The
one-time approval remains in your Microsoft tenant; your IT can remove the
"paywise" application under *Entra ID → Enterprise applications* if needed.

Orders already submitted remain. If Business Central feeds the dunning service,
running dunning processes are paused because paywise can no longer check the
current invoice status.

## Troubleshooting

> [accordion] Microsoft asks for admin approval
>
> Forward the approval link from the paywise page to an administrator of the
> tenant where Business Central runs. Guest administrators use the link **Have an
> admin account? Sign in with that account** on Microsoft's screen. Then sign in
> again.

> [accordion] "Mit diesem Microsoft-Konto finden wir die Business Central Umgebung nicht"
>
> Usually you signed in with a Microsoft account that does not belong to your
> Business Central tenant. paywise shows the signed-in account. Select **Mit
> anderem Konto anmelden** and pick your Business Central user's account in
> Microsoft's account picker. If your environment is not called **Production**,
> enter its name under **Andere Umgebung** (it appears in the Business Central
> address bar after your tenant ID).

> [accordion] No companies are listed
>
> The signed-in user has no access to a company in this environment. Sign in with
> a Business Central user who may see the invoices you need.

> [accordion] The invoice list is empty or an invoice is missing
>
> paywise only shows posted, open, overdue euro invoices with an open amount
> greater than zero. Check status, due date, currency, the disputed flag and
> customer blocking directly in Business Central.

> [accordion] The sign-in has expired
>
> If the signed-in user left the company, changed their password or the
> connection was unused for a long time, paywise shows **Erneut anmelden**.
> Orders already submitted are not affected.

> [accordion] The dunning service cannot be activated
>
> Check that the Business Central connection is active and that you confirmed
> reminders in Business Central are disabled.
